Reporting to: Administration Supervisor, Senior Fee Earner and Practice Manager
Supervising: Not Applicable
Job Purpose: Providing office administration and business support services to Fee Earners.
Responsibilities
- Ensuring Client Care letters are sent out in a timely manner
- Completing audio typing and processing of cases
- Managing Fee Earner diaries
- Liaising with Finance to make travel arrangements where required
- Completing on time and accurately Fee Earner expense claims
- Maintain client files, ensuring they are up to date, including (but not limited to) the correct NOIs and NOAs and legal aid certs
- Filing documents to client files, dealing with closed files and maintaining the firm’s closed file records.
- Transfer files to Billing once closing file checklist is completed
- Filing, copying, scanning documents where required
- Managing all incoming correspondence including email (Outlook/CCMS/EGRESS) and telephone calls
- Compliance with the firm’s policies and procedures e.g. Health & Safety, Data Protection
- Ensuring that all work carried out meets or exceeds the requirements of the LAA’s Standard Contract, the SRA Code of Conduct and meets Quality Mark standards
- Recording all work carried out accurately and appropriately on the firm’s computerised time recording, Case Management System, Compliance Caddy and HR system
- Participating in the Reception rota and general office admin activities when required
- Other Administrations duties deemed necessary to support the needs of the business

- Excellent written and oral communication skills

- Ability to apply initiative & work in a fast paced environment
Experience
- 2-5 years legal office administration experience – desirable
- Competent on Word/Excel/PowerPoint – essential
- Legal Case Management systems experience – desirable
